CONFERENCE FEE

CONFERENCE FEE HOPE AGORA 2016: €300

This fee includes the conferences, the meals and the social evening programmes, starting with the official opening on Monday 6 June and ending with the farewell party on Wednesday 8 June.  Hotel accommodation is NOT included.

REGISTRATION FEE FOR PARTICIPANTS ON THE EXCHANGE PROGRAMME 2016

REGISTRATION DEADLINE FOR HOPE EXCHANGE PARTICIPANTS: 25 MARCH 2016
PAYMENT DEADLINE: 15 APRIL 2016

Participants on the HOPE Exchange Programme 2016 benefit from a special registration fee. This fee includes three nights accommodation at A. Roma Lifestyle Hotel from Monday 6 June (arrival) until Thursday 9 June (departure), the conferences, all meals and social evening programmes starting with the official opening on Monday evening and ending with the breakfast on Thursday morning.

REGISTRATION FEES FOR EXCHANGE PARTICIPANTS

  • Participants who share a room with another Exchange Participant: €300
    Participants will be able to express their choice with whom they wish to share the room after the start of the Exchange Programme.
  • Participants who do not wish to share a room: €465
  • Participants who wish to share a room with their partner: €525
    This fee does not entitle the partner to attend the social evening programmes.  Partners who wish to attend the social evening programmes should register separately as accompanying persons.

EXTRA NIGHTS AT A. ROMA LIFESTYLE HOTEL BEYOND THE AGORA PERIOD

Exchange participants wishing to extend their stay beyond the conference period (before Monday 6 June or after Thursday 9 June) can book extra nights when registering for the Agora 2016.
Room rate, breakfast and taxes included, city tax excluded:
Single room: €140/night
Double room: €160/night 
Accommodation bookings and rates beyond the Agora period cannot be guaranteed after 7 March 2016 and will be allocated according to availability (first come, first served). Accommodation bookings for these extra nights will be valid ONLY if guaranteed by Credit Card.  Payment to be made on site at the end of the stay, directly with the hotel.

ACCOMPANYING PARTNERS

Partners who do not attend the conferences on Tuesday and Wednesday can participate to the social evening programmes at the following costs:
Official opening Monday 6 June: €50
Italian evening on Tuesday 7 June: €40
Farewell party on Wednesday 8 June: €100

Partners wishing to attend the conferences as well pay the full conference fee of €300.

ACCOMMODATION AT A. ROMA LIFESTYLE HOTEL

The HOPE Agora Event Office has confirmed rooms for the conference period at the venue, the A. Roma Lifestyle Hotel. Accommodation can be booked via the online registration form at the following rates (breakfast and taxes included, city tax excluded):
Single room: €140/night
Double room: €160/night

Accommodation bookings after Friday 15 April 2016 cannot be guaranteed. The rates quoted are only valid for bookings made by Friday 15 April 2016.

Accommodation bookings and rates for nights beyond the conference period (before Monday 6 June and after Thursday 9 June) cannot be guaranteed after 7 March 2016 and will be allocated according to availability (first come, first served).

Accommodation bookings will be valid ONLY if guaranteed by Credit Card.  Payment to be made on site at the end of the stay, directly with the hotel.

Please have your ID card or passport and Credit Card details at hand as these are requested during the booking. 

TERMS AND CONDITIONS

Payment/Currency

  1. All fees are payable in Euros ONLY
  2. All fees are payable by bank transfer before 30 April 2016 at the latest (before 15 April 2016 for Exchange Participants)
    Details for the bank transfer will be received after the registration process.
    Do NOT forget to indicate the payment purpose and the name of the participant on the bank transfer order.
    Bank transfer charges have to be paid by the registrant.

REGISTRATIONS WILL BE VALID ONLY AFTER VERIFICATION OF THE AMOUNT TRANSFERRED. 

Cancellation/Refund Policy

All cancellations must be notified by email to the HOPE Agora Event Office 2016@hope-agora.eu

The following conditions will be applied.
- Before 15 April 2016: a 25% cancellation fee will be withheld for administrative fee
- After 15 April 2016 and before 1 May 2016: a 50% cancellation fee will be withheld for administrative fee
- As from 1 May 2016: no refund

Reimbursement will be processed after the Agora 2016.

Badges

Agora 2016 identification badges are mandatory and will be required for admission to all conference functions (including social events).

Publicity Policy

Each registrant grants HOPE/HOPE Agora the right to photograph/videotape participants and to use such photographs/videos and the names of attendees in materials which either represent the proceedings of the Agora 2016 or promote future Agora's.

Liability

With paid registration, the participant acknowledges that she/he has no right to lodge claims against HOPE/HOPE Agora should the conference be altered, hindered, or prevented by unexpected political or economic events, unpredictable forces of nature, speaker cancellations or other unforeseeable events.

Insurance

HOPE/HOPE Agora do not accept any responsibility for individual medical, travel or personal insurance. Participants are strongly advised to have their own travel insurance policies to cover risks including (but not limited to) loss, cancellation, medical costs and injury. HOPE/HOPE Agora will not accept any responsibility for any delegate failing to take out adequate insurance.
